HAVAN (Homebuilders Association Vancouver) is an association representing 1,100+ member companies — from innovative community developers to flooring suppliers — building over 65% of the homes in our region. As a not-for-profit association, we connect, educate, and advocate for one of the most vital industries in BC. Events are at the heart of how we bring our community together — and we’re looking for a mid-level Events Manager to take the reins on our growing portfolio of B2B and B2C programs.
This role is perfect for someone who’s already cut their teeth in the events world (minimum 3 years experience), is hungry for their next leadership opportunity, and knows how to juggle a fast-paced calendar without dropping a detail. What You’ll Do:
Reporting to the Senior Director, Marketing Communications (SDMC), you’ll be the key driver behind the strategy and execution of our signature events. From intimate leadership gatherings to major industry expos, you’ll handle logistics, budgets, timelines, sponsorship engagement, and more.
You’ll also mentor and provide guidance to our Event and Marketing Coordinator, work closely with other department leads, and liaise with a range of stakeholders — from elected officials and other industry representatives to vendors and volunteers. No two days look the same, and that’s just how you like it.
Key Responsibilities
- Event Program Management: Oversee and contribute to strategy, planning, sponsorships, and execution for events, managing a master calendar of 20+ annual programs.
- Acting as Lead point of contact for assigned events, ensuring all client deliverables are met and that critical deadlines are upheld.
- Ensures that service quality standards and HAVAN’s values are maintained and consistently delivered in all areas of responsibility.
- Adhering to event budget and maintaining accurate record of expenses and invoices.
- Logistics Lead: Organizing all event logistics such as overseeing registration, speaker management, tech support, décor, communications (with the SDMC), and providing general customer service and support.
- Seeking quotations and hiring reliable subcontractors for events such as Hotels, Caterers, Technicians etc. Build rapport with vendors.
- Manage our CRM-based registration system (GrowthZone) and event-related website updates, manage contracts, vendors, budgets, and ensure seamless day-of execution (rehearsals and overseeing audio/visual or virtual elements of event programming), plus event wrap up and reviews.
- Stakeholder Coordination: Liaise with sponsors, speakers, volunteers, government contacts, and members to deliver high-impact experiences.
You Are:
- An events enthusiast – You genuinely love the work and have at least 3 years of hands-on experience managing complex programs from end to end.
- Detail-obsessed but big-picture smart – You can manage the nitty-gritty (budgets, timelines, run sheets) and keep your eye on how it all ladders up to bigger goals.
- A confident leader and collaborator – Whether it’s leading a team onsite or working cross-functionally, you bring maturity, calm under pressure, and strong communication skills, with the ability to provide clear, concise, and respectful direction to team members or contractors to the table. Proactive and able to manage multiple functions and projects while meeting deadlines.
- A problem-solver at heart – You take initiative, anticipate challenges and find solutions before they become issues.
- Community-driven – You understand the power of relationships and love being the connector between people, purpose, and great experiences. As a volunteer-driven association, HAVAN works alongside members to produce events – from sponsors, on-site ambassadors, and attendees. You know how to bring everyone together and motivate the team to get the work done.
Other Requirements
- Occasional work on evenings and weekends due to events.
- As this role requires travel across Metro Vancouver for events, you must have access to a reliable vehicle.
